Work with the Facet Dashboard
Use the Facet Dashboard to explore and filter documents using field values and document counts. You can start with all documents in the case or load a search result set from the Documents page, and then refine the document set using facet cards and content search criteria.
Note: The documents and fields available on the Facet Dashboard depend on your group's security settings. Documents that are not available to your group are not included in dashboard counts.
Open the Facet Dashboard
On the Case Home page, click Facet Dashboard. The first time you open the Facet Dashboard in a case, the document set includes all documents that are available to your group.
You can also load a search result set from the Documents page.
Run a search on the Documents page.
Click Load result set to Facet Dashboard.
The Facet Dashboard opens and uses the search results as the current document set. Facet criteria and content search criteria that you apply further refine that document set.
If you navigate away from the Facet Dashboard without exiting the case, the current document set, criteria, and results are maintained when you return.
Work with facet cards
Facet cards display values for selected fields and the number of documents associated with each value. By default, the following cards are selected for display:
All Custodians
People - From
Organization - From
People - Recipients
Organization - Recipients
Document Type
[Meta] Processing Exceptions
[Meta] Document Kind
[Meta] Languages
On standard cards, you can sort the card values by name or document count and filter the values by name. When a card contains more values than can be displayed, use the scroll bar to view additional values.
For People and Organization cards, the dashboard does not display names that are not linked to any documents in the case. When you use a search result set or apply facet criteria, a People or Organization value can display a document count of 0 if that value is linked to other documents in the case but not to documents in the current results.
Filter documents using facet cards
Select values on one or more facet cards to build facet criteria.
On a facet card, click a value.
Continue selecting values from the same card or other cards as needed.
Click Apply.
The dashboard applies the criteria and updates the facet results count, the sources and attachments count, and the document counts on the cards.
When multiple values from the same field are selected, the values are combined using OR. Criteria from different fields are combined using AND.
Applied criteria appear in the facet criteria area. To remove a criterion, click the X for that criterion, and then click Apply to update the results.
Search document content
Use Content Search to refine the document set using search terms.
Enter the search terms in Content Search.
Click Apply.
The search terms are added to the applied criteria and the dashboard counts are updated.
If you apply multiple Content Search entries, the entries are combined using OR. The Content Search criteria are combined with criteria from facet cards using AND.
View documents
Use dashboard document counts to open the corresponding documents on the Documents page.
Click the facet results count to open the documents that match the current document set and applied criteria.
The sources and attachments count, shown with the paperclip icon, includes sources and attachments for the current document set and applied criteria. Click this count to open those documents on the Documents page.
You can also click a document count on a facet card to search for documents associated with that value. The search includes the current document set and any other applied facet criteria.
After opening documents from a dashboard count, use the browser's Back button to return to the Facet Dashboard. The previous facet criteria are maintained.
Reset the dashboard criteria
Click Reset to clear all facet criteria and Content Search criteria. The dashboard returns to the original document set and updates the result counts and cards.
Note: If the dashboard is based on a search result set, Reset retains that search result set. To replace the search result set with all documents, use Load all documents and apply existing facet criteria.
Load all documents
Use Load all documents and apply existing facet criteria to replace the current search result set with all documents that are available to your group. Existing facet criteria, including criteria that have not yet been applied, are retained and applied to the updated document set.
You can also use this option when the dashboard already uses all documents. For example, if additional documents were ingested or imported after you opened the dashboard, use this option to refresh the document set and include the new documents while retaining the existing facet criteria.
Configure the Facet Dashboard
Use Display settings to select the facet cards that appear on the dashboard and to change their order.
Click Display settings.
To add a card, select a field in the New card field picker, and then click Add card.
Select or clear the cards that you want to display.
To change the order of the cards, drag the cards to the desired positions or change their order values.
Click Save.
The Display settings window closes and the dashboard displays the selected cards in the configured order.
Note: If you select a field in the New card field picker and click Save without first clicking Add card, the selected field is added as the last card on the dashboard.
Your added cards, selected cards, and card order are maintained across browser sessions.
Note: The fields available in Display settings depend on your group's field security settings. If access to a field is denied, the field is not available to add as a card. A previously configured card for that field is removed from the dashboard.
Work with quick code cards
Quick code cards display the configured values for the quick code field and the corresponding document counts. Quick code cards also include a Not Coded value for documents that do not have a value for the field.
Work with the Concepts card
You can add the Concepts field as a facet card. The card displays concepts that are available for the case and excludes concepts that are configured as stopped on the Analysis > Stop Concepts page.
If the stopped status of a concept changes, refresh the dashboard to update the Concepts card.
Work with AI Enrichment facet cards
The AI Enrichment: Topic, AI Enrichment: Record Type, and AI Enrichment: Risks cards display hierarchical values. Expand a parent value to view its child values, or use the expand or collapse control in the Name column to expand or collapse all values.
Click a value in the hierarchy to add it as facet criteria. When multiple values from the same AI Enrichment card are selected, the values are combined using OR. Click a document count to open the documents associated with that value.
Set the minimum score threshold
The AI Enrichment: Topic and AI Enrichment: Record Type cards include a Minimum score threshold setting. AI Enrichment: Risks does not include this setting.
On the AI Enrichment card, click Minimum score threshold.
Set a score from 0 through 1. You can change the score in increments of 0.1.
Click outside the setting to save the score and close the control.
The default minimum score threshold is 0. The card updates its document counts to exclude documents with scores below the selected threshold. The threshold is maintained across your browser sessions.
When you select an AI Enrichment value while the minimum score threshold is greater than 0, the score range is included in the facet criterion. If you later change the threshold and select another value, that value uses the threshold that was set when you selected it.
Work with recipient fields
People - Recipients includes the distinct people associated with the People - To, People - CC, and People - BCC fields for a document.
Organization - Recipients includes the distinct organizations associated with the Organization - To, Organization - CC, and Organization - BCC fields for a document.
In addition to using these fields as facet cards, you can select them as search criteria and add them to List column templates. You can also add them to Conditional Coding templates as read-only fields.
Save facet criteria as a search
After you apply facet criteria, you can save the criteria as a saved search.
Apply one or more facet criteria.
Click Save search.
In the Save search as window, specify the saved search information.
Save the search.
If the Facet Dashboard document set is all documents, the saved search contains the applied facet criteria.
If you loaded a search result set into the Facet Dashboard, the saved search combines the criteria from the original search with the applied facet criteria.
